Excel got you here. It won’t get you further.
Spreadsheets don’t send invoices, chase deliverables or survive an audit. What changes when an agency moves from Excel to an operating system.

In fairness
Excel / Sheets is enough when…
- You manage a handful of talents and a few deals a year.
- Somebody else (an accountant’s tool) already issues your invoices compliantly.
- One person owns the file and nobody else needs live access.
- You genuinely enjoy maintaining formulas — no judgement.
The tipping point
You’ve outgrown it when…
- Two people need the same data at the same time — and the file forks.
- An auditor or Steuerberater asks how your invoice numbers are assigned.
- A brand asks for an XRechnung and you have no way to produce one.
- Campaign status lives in WhatsApp while the “tracker” sleeps in a drive.
- Usage-rights windows expire silently because no sheet reminds you.
Questions
Asked before switching.
Can I import my existing Excel roster into TalentM?
Yes — talents, contacts and deals can be created from your existing data, and every list in TalentM is exportable again (CSV/XML), so there is no lock-in in either direction.
Is a spreadsheet actually non-compliant for invoicing in Germany?
A spreadsheet itself is not forbidden, but GoBD expects gap-free numbering, immutability after issue and a traceable record. TalentM enforces all three at the database level — an Excel file enforces none of them.
What does switching cost?
The Free plan costs nothing and needs no credit card. Starter and Pro include a 14-day free trial, so a real migration can be tested before any money moves.
Do I lose the flexibility of a spreadsheet?
Custom fields, configurable pipelines, your own engagement types and computed columns cover the “our process is special” cases — as data, not as formulas only one person understands.
Close the workbook. Open a workspace.
Import your roster and send your first compliant invoice — in an afternoon, not a quarter.
